CRM enrichment adds information to existing records or updates fields that have changed. Begin by measuring missing and inaccurate fields in your own CRM. Do not assume a particular percentage of contacts is incomplete or stale.

Data cleaning corrects or reconciles existing records; enrichment adds external information or refreshes fields. A pipeline may need both. Define which operation is authorised for each field.

What to Enrich

Enrich what changes a sales or marketing decision. Ignore vanity fields nobody filters on.

Company data, first. Legal name, Companies House number, industry, employee band, and turnover band (where filed) decide territory, sequence, and whether the account is even in ICP. Tech stack and funding only matter if they change who you sell to.

Contact data, second. Add job role or contact details only where they serve a defined purpose and the source is suitable. Verify important details before relying on them for routing or outreach.

Intent and events, last. Job changes, hiring spikes, new office announcements, relevant news. These are signals, not facts about the person. Treat them as a reason to look, not as a reason to overwrite the record.

A suggested priority is the fields that change routing or service decisions, followed by additional context with a defined use. Confirm that priority with the people using the records.

Named business contacts can be personal data. Public availability or purchase from a supplier does not remove UK GDPR duties. Establish a lawful basis, provide required privacy information, and honour applicable rights. Marketing also requires a PECR assessment, including the distinction between corporate subscribers and sole traders. See the ICO’s B2B marketing guidance.

Data Sources and APIs

Test candidate sources against the fields and organisations you need. Use a sequence of lookups only where it improves measured coverage or accuracy enough to justify the cost.

Companies House provides company-profile data keyed by company number, including registered identity, status, and SIC codes. It is a register of companies, not every UK business, and a name match is not enough to establish the right legal entity. Treat filings as source records, with dates and provenance, rather than proof of every commercial fact. See the company-profile API.

Licensed B2B databases can provide additional company or contact attributes. Test coverage and accuracy on a representative sample, check permitted use and provenance, and compare against any enrichment already included in the CRM. Do not assume one vendor has better coverage without evidence.

Websites and email. A domain can help identify an organisation, but group companies, agencies, shared domains, and personal addresses make the match uncertain. Website statements about size or industry need a source date and should not be treated as verified registry data.

News and hiring APIs for event-based refresh. Use them to set a “last signal” field, not to rewrite the company description every time a press release goes out.

Third-party platforms. Check the source platform’s terms, the supplier’s rights to provide the data, and the applicable privacy rules. Paying a data supplier does not by itself establish that collection or use is authorised.

An illustrative lookup sequence for a new HubSpot company is domain evidence → confirmed legal entity and company number where applicable → registry and licensed source lookups → proposed field updates. Send unresolved identity matches to review and write only fields that pass the agreed validation rules. That is a data pipeline, not a one-off import.

Enrichment Architecture

Three useful trigger patterns are new-record creation, scheduled refresh, and event-driven changes. Select them by field and business need.

Trigger-based (new record). A webhook or native workflow fires when a contact or company is created. Start enrichment where authorised, but allow routing to handle missing fields and failed lookups.

Scheduled refresh. Set cadence using observed error rates and the cost of stale data. A universal annual “data decay” percentage is not a substitute for measuring your CRM. Refresh important fields more often where the evidence justifies it.

Event-based (job change, company status, domain change). Subscribe to signals. A contact moving role is worth a task for the owner, not a silent field edit they never see.

New inbound leads: trigger-based. Named accounts: scheduled plus events. Dormant list: scheduled, low frequency, or not at all. If you cannot say which pattern a field uses, you do not have a system yet. You have a spreadsheet with an API integration taped to it.

Validation and Deduplication

Define how to resolve a conflict between an external source and a manually confirmed value. Preserve provenance and send important disagreements to the owner.

Set resolution rules before you connect the write API:

  1. Protect confirmed fields. For example, route a proposed change to a recently confirmed field for review. Define the protection period and any exceptions with the owner; 90 days is a possible policy choice, not a standard.
  2. Confidence scores. Use source reliability, identity matching, and validation results. Test any vendor or model confidence score against known records before setting an automatic-write threshold.
  3. Source and timestamp on every enriched field. You will need this the first time two vendors disagree.
  4. Deduplicate before enrichment. Identify likely duplicate records before paying for repeated lookups. Confirm identity before merging and preserve the provenance of retained values.

Review ambiguous identity matches, role changes affecting active opportunities, and changes to fields used for significant decisions. A business absent from Companies House may be a sole trader or overseas entity; absence alone does not make it invalid.

CRM Integration

HubSpot. Use supported CRM properties and API operations for provenance and updates. Workflow webhooks and other automation features depend on subscription and configuration; verify entitlement before designing around them.

Salesforce. Use the same provenance and validation requirements. Map to standard fields only where the data is cleaner than what reps enter. Put speculative data (intent, inferred stack) on custom objects or fields that reporting can ignore.

Pipedrive. Check the available fields, API, webhook events, and plan features against the required flow. Keep external enrichment logic documented so it can be changed independently of the CRM.

Write to approved empty fields first, then consider stale fields under explicit rules. Exclude protected fields such as owner notes and manually confirmed addresses from automatic overwrites. Keep previous values for a defined retention period so incorrect changes can be reversed.

This complements the CRM workflows you should already have for routing and tasks. Enrichment without routing is a prettier unassigned lead. Connecting the CRM to the rest of the stack is covered in connecting business databases.

Where Fernside Fits

We build AI systems that stitch Companies House, licensed data, and your CRM into a pipeline with validation rules. not another enrichment login your ops lead has to babysit. Ongoing runs, vendor substitutions, and field-mapping changes sit under managed systems if you do not want that on a sales-ops to-do list.

Want to build a CRM enrichment pipeline? Book a discovery call and we will map which fields actually change your outreach before we plug anything in.
